Sorry for not getting back to you recently about remote participation as
well as this capacity point.
Your thoughts come at a really useful time I think though I would
suggest we don't adjust the format/capacity of this paticular event now.
Instead the point about meeting structures/locations/capacities/remote
involvement should be brought up prominently as a point for discussion
on the 8th.
Those (few) of us who have made it to recent nodel-vis meets have
struggled to develop a robust workshop plan for the 8th (you should have
received a copy of the workshop plan draft in the most recent nodel-vis
minutes). I did flag up and raise questions about what to do if we hit
capacity in a recent skype conference. The collective feeling was that:
- a strong and well facilitated workshop structure will be necessary for
the day to be useful
- the proposed workshop structure, much of which is based around small
group discussions and feeding back in intervals, won't work as well if
we have a larger group
- the free lunch has been actively used as a carrot to get people to the
event - if more prople come there won't be lunch for them (or rather,
the whole 'who's eating my lunch?' scene will get really confused) - we
have to use the LCACE money for evaluation activity and with 50 people
coming we basically blow what's left of that budget and have no more we
can allocate
I have suggested that we might hold a second event of this kind to take
advantage of enthusiasm (waiting list currently has 9 confirmed and
another 4-5 who may want to be added, so we may be plateau'ing though).
We wouldn't have a budget for space hire, catering, notetaking,
materials though in this event.
Also I think it's vital we have a VOs meeting pretty swiftly after the
8th (one has been pencilled for the 17th July @ space) to start making
some hard VO led decisions and to move the whole thing forward.
Remote participation:
- in a similar vein I feel that while rp is a great idea and something
we should definitely be exploring about how to build in to the shape of
our future get togethers, I don't think it's feasible for the 8th.
- we lack budget/time/expertise to set it up properly and I would guess
it wouldn't interlock with the workshop strcuture in a way that was
sufficiently useful and time efficient
- we are paying a notetaker to record and write up everything from the
session so that can be tipped to the VOs at the next meeting
- but definitely one for the future I think and it would be great to
think this through so it can inform future meeting structures and
funding bids
What I feel is most important to recognise right now is that significant
motivation clearly exists for people who have maybe not been such
'seasoned' VOs to at least input ideas into what node.london should be
doing and making their voices heard - a great thing!
- also - in terms of putting this event together - we have done
something right in terms of attracting this crowd - and we should take
the time to understand exactly what that is.

Do you think it might be sensible to book a larger space at the ica? I
mean, if we're in the Nash room, perhaps there's nothing going on in the
Brandon room.
How many people are asking but are too late? It's crazy not to include
them.. although I guess we have to be sensible about how many people can
participate...
I'm just so loth to miss anyone out.
